Free salon inventory apps: what you actually get
You searched for a free salon inventory app and got a page of results listing the same handful of tools. Most of them are not free, and by the third pricing page it starts to feel like everyone is playing a small game with you.
So start somewhere more useful: with the four different things the word "free" is doing in this category, and what each one costs you somewhere other than your card.
Free trial, free tier, genuinely free, and free because something else is being paid for. Only the third one has no bill attached anywhere.
Underneath the search there is also a fair question: whether inventory software is worth paying for at all. That gets a straight answer further down, and it may surprise you coming from a company that sells it. What there is to manage in the first place sits in our guide to salon inventory management.
🏷️ Four kinds of free salon inventory app
The free trial. Full product, time-boxed. A week, two weeks, a month. You get everything, then you decide. Perfectly fair, provided you knew it was a trial before you started entering products.
The free tier. Permanent, capability-boxed. You keep the account forever and you keep hitting a wall: a product limit, one user, no export. The wall is the product; the tier exists to show you where it stands.
Genuinely free. Usually a side project, a piece of open source, or something a person built for their own salon and put online. Real, and it stops the day that person gets busy. Nobody is on call for it.
Free because something else is being paid for. A booking system that includes stock. A supplier's ordering portal. A point-of-sale with an inventory tab. The inventory is free because the subscription, or the wholesale margin, is not. For a lot of salons this is the right answer.
All four are fair offers. The damage comes from not knowing which one you are looking at when you put four hours of setup into it, and that is a miserable way to lose an evening.
The free tier is the one that catches people most often, so it is worth knowing where its walls usually stand.
🚧 What a free tier actually caps
Free tiers are capped somewhere, and the cap is rarely the thing the marketing page leads with. Four places I would look before entering a single product:
Export, first. This is the one that gets skipped and the one that bites. If you cannot get your product list and your counts out as a spreadsheet, the cost of leaving is rebuilding everything by hand. Check it on the free tier itself, because the pricing page and the product often say different things.
Product count. The most common limit and the most misleading. A limit that sounds generous can be filled by a single color line.
Locations and users. Frequently one of each. If a second person needs to record what they used, you are on the paid tier the day you hire.
History. Some tiers keep the current number and quietly discard last month's, which removes the thing that makes a count useful: the direction it is moving in.
Before signing up for anything, though, look at what is already on your phone and laptop.
🧰 The free tools you already have
There are three you are not paying for today.
A notes app. Genuinely useful for one thing: the running list of what to reorder. It has no cost data, no history, no totals, and it cannot tell you what you are holding. As a bin written down, it works.
A general stock or barcode app. Built for warehouses and small shops. The arithmetic works. What is missing is everything specific to this trade: no professional product catalog, no back bar concept at all, and barcodes for salon lines that consumer databases often do not recognize. Expect to spend the first evening typing in products.
A spreadsheet. The most capable of the three, and the most demanding. It holds cost, history, totals and whatever structure you give it, and in return it asks for maintenance every week from everyone who touches it. That trade is a subject in itself, covered in our salon inventory spreadsheet template, and the file there is free with no email and no registration.
If you are ready to look at paid tools, our comparison of the best salon inventory management software does that job properly. First, though, the question most people are too polite to ask.
💵 "Why would I pay for this at all?"
Here is the objection, and it deserves better than the brush-off it usually gets.
Counting bottles is not complicated. Nobody needs a degree to write down what is on a shelf. It is a small job, it sits far away from where the money in a salon is actually made, and there is something faintly ridiculous about a monthly bill for it.
I think that reasoning is sound. Paying someone for work you are doing yourself is a bad trade. A lot of what is sold in this category is a slightly more convenient spreadsheet with a subscription attached, and this article will not pretend otherwise.
Which leaves two answers that hold up.
One: use the inventory module in something you already pay for. If your booking system or point-of-sale has a stock tab and it does what you need, that is the correct answer and it costs nothing extra. Two of the caps above still apply: can you export, and does it keep history. If both are yes, you have your answer and you can stop shopping.
Two: if you are going to pay, name the outcome first. The outcome, before any feature: hours you get back, the order you did not place twice, the product you stopped running out of mid-service. Anything that cannot be described that way is not worth a subscription, ours included.
⚠️ Run the arithmetic both ways before you decide. A free tool that takes twenty minutes a week is not free. The U.S. Bureau of Labor Statistics puts the 2025 median pay for barbers, hairstylists and cosmetologists at $17.25 an hour. That figure covers employed staff, and owners sit outside it, so treat it as a floor for your own time. Twenty minutes a week is about seventeen hours a year, or roughly $300 at that floor rate. Sometimes the free tool is still the cheaper option and you should keep it. Sometimes it is not, and now you can tell which.
The other cost that never appears on any pricing page is the order itself. Ardent Partners puts the all-in cost of processing a single invoice at $9.84 in its 2025 benchmark. That is measured across business generally. The work is the same, and in a salon it lands on the person who is also doing the service.
If you do decide to pay, the next trap is the feature page itself.
🔍 What the feature page says, and what you should actually get
Inventory software is sold in big phrases. They sound alike across the category, and they rarely tell you what happens on a Tuesday. Here are four you will meet, translated into what you should expect to see, and how Suplery does each one.
"Intelligent automated reordering." What it often turns out to be: a low-stock alert, and the ordering is still yours. What you should get is the order itself. In Suplery, once it has a couple of your counts, you get a draft order for each supplier, built from how fast each product actually goes, waiting for your approval. Nothing goes out without your yes.
"Real-time visibility across your business." What it often turns out to be: a number that is only as fresh as the last time someone updated it. What you should get is a count quick enough that it actually happens, kept in one place the whole team shares. In Suplery everyone counts into the same stock from their own phone, one scan per package, and the number is as fresh as your last count. That is the honest version of real-time.
"Effortless onboarding." What it often turns out to be: an import template and an evening of typing. What you should get is a way to add products without a keyboard. In Suplery you add a product from a photo or by scanning its barcode on your phone, one package, one scan.
"Integrated supplier network." What it often turns out to be: a list of logos. What you should get is somewhere to actually buy. Suplery has a wholesale shop with verified brands and authorized distributors, and it keeps track of what you have already ordered, so the same product does not get ordered twice by two people on the same day.
When you compare tools, ask for the Tuesday version of every big phrase. The honest ones can show you.
📍 Where Suplery sits, since you are on our site
Straight, so you can weigh it against everything above.
To be upfront about where we sit: Suplery inventory is a paid product. The wholesale shop is a separate thing and has no subscription fee for licensed professionals: you can buy from verified brands and authorized distributors without a plan.
And we hold ourselves to the bar set above. If you cannot name the outcome you are buying from salon inventory management software, whether that is hours back or orders you stop placing twice, then do not buy it. Nothing about that changes because the company saying it is us.
✅ If the answer is still no
Then build the spreadsheet, properly, once.
It is a real answer and a good one. It holds your costs, your history and your totals, it belongs to you, and nobody can cap it or discontinue it. What it asks for is a habit: a named day each week, and the discipline to keep the file true.
The salon inventory spreadsheet template is a Google Sheets copy: open it, copy it to your own Drive, and start. Nothing is gated behind an email address and nothing expires.
🧡 When you can name the outcome
If the outcome you want is hours back and orders you stop placing twice, that is what Suplery is built for. It holds what you counted and what you have already ordered, learns how fast each product goes from your counts, and drafts the next order for you to approve, so none of it has to live in your head. It is a relief the first week the order is already waiting when you open the app.

Frequently asked questions
Is there a genuinely free salon inventory app?
Some exist, though they are usually side projects or open source, with nobody on call to support them. Most tools marketed as free salon inventory software are either time-limited trials or permanently capped tiers, so check which one you are looking at before you enter any products.
Is inventory software worth paying for at all?
Only if you can name the outcome you are buying: hours back, duplicate orders avoided, stock that stops running out. If a tool is a slightly more convenient spreadsheet with a monthly bill, it is not worth it.
What does a free trial usually include?
The full product for a fixed period, typically a week to a month. When the period ends you either pay or lose access, so treat it as a way to test.
What do free tiers normally limit?
Product count, number of users and locations, how much history is kept, and export. Check export first — if you cannot get your data out, leaving costs you the whole setup again.
Is a notes app enough?
For a reorder list, yes. For anything involving cost, value or history, no. A notes app cannot tell you what you are holding or what it is worth.
Does Suplery have a free plan?
No. Suplery inventory is a paid product. The wholesale shop is separate and has no subscription fee for licensed professionals.
What happens to my data if I leave a free tool?
It depends entirely on whether the tool has export, which is why it is the first thing to check. Without it, your product list and counts stay inside a system you no longer use.
